How to Batch Create Flow Templates

This section explains how to create flow templates in bulk, including how to upload flow template CSVs.

Currently, only the bulk creation of flow templates is available, and the bulk editing feature is not supported.

1) How to Download the CSV Template

Click on "Flow Templates" from the left menu of the management screen, then select "Bulk Creation."

Click on "Download" under "CSV Template" to download the CSV flow template file.

2) How to Enter Information into the CSV Template File

Caution

The CSV template contains sample data for your reference. When entering your actual data, please overwrite or delete these sample rows.


Open the downloaded file and refer to the CSV guide as you add your information.

Item Name Required  Example Entries and Guidelines
Flow Template Name
The flow template name can be freely customized. Please enter a clear and descriptive title that indicates the purpose of the workflow.
Example: Employee Onboarding Process (Full-Time)
The flow template name is consistent across all rows, meaning that only the value in the second row will be referenced.
Flow Type
The flow type serves as a "category" for classifying your workflows. Please select from the available flow types.
Example: Employee Onboarding
The flow type is consistent across all rows, meaning that only the value entered in the second row will be utilized.
Flow Description -
You can enter a description related to the flow. For example: This template pertains to the employee onboarding process.

Process Name
Please understand that the process serves as a category for grouping tasks. You have the flexibility to customize the process name as needed.
Example: Enrollment in Social Insurance
Task Name
The task name can be customized according to your needs.
Example: Initiating the Social Insurance Enrollment Process
Task Assignee -
Please enter the names of the task assignees who are registered as administrators in mfloow. You can add multiple assignees by separating their names with line breaks.
Example: John Tanaka
If the user is not registered as a member in mfloow, an error will occur. Please ensure that you complete the member registration process beforehand.
Task Assignee (Team Name) -
Task assignees can be designated by team. Please enter the names of the pre-created teams. You can register multiple teams by separating them with line breaks.
Example: Team A
If the team has not been created, an error will occur. Please ensure to create the team in advance.
Task Description -
You can enter a description related to the task, providing additional context or details as needed.
Example: Share the application form with the labor consultant and confirm any allowances that should be added, such as telecommuting allowances.
Trigger -
The trigger serves as a starting point for setting deadlines and can be created as needed. You will enter the trigger date at the beginning of the flow.
Example: Start Date of Employment
Trigger Calculation Method -

You will need to select a method for calculating deadlines based on the trigger specified above. Please choose from the options listed below.

  • Starting from the specified date
  • Starting from the first day of the current month
  • Starting from the last day of the current month
  • Starting from the first day of the following month
  • Starting from the last day of the following month
    Due Date -

    Please select a due date within the range of "0" to "365."

    Due Date Settings -

    Please select the unit of measurement for the due date from the options provided below.

    • Business Days Before
    • Business Days After
    • Days Before
    • Days After
    • First Day of the Month After X Months
    • Last Day of the Month After X Months
      Checklist -

      You can create multiple items by separating them with line breaks.

      Example:

      • Labor Conditions Notification and Employment Contract
      • Employment Acceptance Letter
      • Consent Form for Personal Information Handling
      Task Reminder/Days -

      The task reminder feature allows you to set up to three reminders that notify you at specified times.

      If you wish to set multiple entries, please separate them by line breaks.

      Please select a number of days between "0" and "90."

      Example: 10

      Task Reminder/Days Setting -

      Please select the unit of measurement for the reminder days you have set from the options below.

      • Business Days Before

        3) How to Upload the Flow Template CSV

        To upload the flow template CSV, click on "Upload," then select "Choose File" or drag and drop the CSV file into the designated area. After adding the file, a popup will appear for you to review the content. Once you have confirmed the details, click "Execute" to proceed.

        A confirmation message will be displayed once the file has been successfully uploaded.

        Upload Error Details

        If the flow template file is not correctly formatted, an error message will appear, providing details about the issue encountered.

        Clicking on the error message will display a popup with detailed information about the issue.

        Refer to the provided error detection details to modify your CSV file, and then attempt the upload again.
