Flow: How to Use Flowcharts
This article explains how to use the flow chart for a flow.

What is a flowchart?
A flowchart lets you view and manage flow processes and tasks through an intuitive visual interface. You can add or rearrange processes and tasks using drag-and-drop.
Access a flowchart
Open the desired flow and click the chart icon in the upper right of the details screen to switch to the flowchart view.
To return to the list view, click the list icon.

View Controls
Zoom In | Use “Ctrl” or “Cmd” + scroll down with the mouse wheel, double right-click, or click the “+” icon in the lower right corner. |
Zoom Out | Use “Ctrl” or “Cmd” + scroll up with the mouse wheel, or click the “−” icon in the lower right corner. |
Pan the Screen | To move the screen, right-click and hold anywhere blank, then drag in your desired direction. |
Recenter the Screen | Square icon in the lower right corner |
Expanded View |
When you zoom in near the flowchart, detailed information like due dates and status for each task is displayed, and you can click elements to edit them directly. |
Collapsed View |
When the flowchart is sufficiently zoomed out, only task names, statuses, and assignees are shown. Clicking a task will display its details, where you can view and edit information. |
Overlay View |
Click the magnifying glass icon in the upper right to open an overlay that lets you view two different areas of the chart simultaneously.

Viewing, Adding, and Deleting Processes

Task Management
Viewing and Editing Tasks
In Expanded View
1. Task Name |
Mouse over and click the pencil icon when it appears to change the task title. |
2. Process Name |
Click on the process name and use the drop-down to change the process name. |
3. Assignee |
Click on the icon of the person in charge and the Set Up Person in Charge pop-up will appear. |
4. Due Date |
Click on the calendar icon or the Set Due Date text and the Set Due Date pop-up will appear. |
5. Task Status |
Click on the status of a task to change its status. Click the checkbox to complete the task. |
6. Other |
Click the three-dot menu to access options for “Details,” “Copy Link,” and “Delete.” |
In Collapsed View
Click on the card of the task you wish to review or edit, and the Task View will appear.
Moving Tasks
Note

The position and order of tasks in the flowchart view does not affect the position and order of tasks in the list view.

Task processes cannot be changed by drag and drop and must be edited manually.
Left-click the task you want to move, click and hold, and drag it to another position in the flowchart. When you release the mouse, the task will move to the new position.
Adding Tasks
Zoom in on the task to which you want to add a new task, then click on it to display a green “+” icon to the right and bottom of the task.
When using the bottom “+” icon
Click the bottom “+” icon to add a new blank task from the same process below the current task in the chart.
Enter the new task name, assignee, and due date, then click the “Save” button. *When adding a task from a flow card, make sure to specify the process.
When using the right “+” icon
Click the right “+” icon to add a new blank task from the same process to the right of the current task in the chart.
Enter the new task name, assignee, and due date, then click the “Save” button. *Be sure to set the process when adding a task from a flow card.
If you want to merge branched tasks back into a single task
Click the task where you want to add the next task, then click the plus icon.
After adding the new task, click the connector of any other branched task and drag it to connect to the newly added task.
The branched tasks will now appear as merged into a single task.
Click the connected line between each task and select the X icon. The branched tasks will now display as rejoined into a single task.
Note
- You cannot create duplicate connector lines between the same tasks.
- You cannot set a subsequent task as the parent of a preceding task.
