How to Add, Edit, Delete, Complete & Reorder Tasks

This article describes how to create, edit, delete, complete and reorder tasks within a flow.

Add a Task

Click on "Add a Task" within the process of your flow.

Enter the task title, set the due date, and assign a responsible person, then click the "Save" button.

You can also set the due date and assign a responsible person later if needed.

Edit a Task

Click the pencil icon to edit the title of the task.

You can either click on the ellipsis next to the task and select "Details" or click anywhere on the task to open the task detail screen for editing.

Formatting Task Descriptions

You can format the text within the "Task Description" field.

 

To add headings or bullet lists, click on "Normal Text" to select the desired format.

To make text bold, click the "B" icon; for italic text, click the "I" icon; and to underline text, select the "U" icon.

When a URL is added, it will automatically be converted into a clickable link.

To create a hyperlink, select the text you want to link and click on the link icon. A popup will appear for you to enter the URL. After adding the URL, click the checkmark icon to save your changes.

To add an image, click on the image icon and select the file of the image you wish to upload.

To resize the image, click and drag one of the corners to adjust it to your desired height or width.

To delete an image, simply click on the image and use the Backspace or "Delete" key on your keyboard.

 

Formatting Shortcuts

By adding a space after the following symbols in your description, the text will automatically convert to the specified format.

  • Heading (H1, etc.):#

Task Detail Screen Tabs

You can send comments (mentions) to team members using the "Comments" feature.

You can review the activity of tasks in the "Activity Log."

You can review the details of the flow in the "Flow Details" section.

Reorder a Task

In the Flow Details section, you can reorder tasks by dragging and dropping them. Tasks that can be moved will be highlighted with a gray background when you hover your cursor over them.

Complete a Task

Click the green checkmark to mark the task as complete. If you wish to skip the task, click on the ellipsis and select "Skip."

For Incomplete Checklist Items

If there are incomplete checklist items when marking a task as complete, a confirmation popup will appear. If you still wish to complete the task, click the "Complete" button.

For When All Checklist Items Completed

When all checklist items are completed, a dialog will appear prompting you to mark the task itself as complete.

Completing Multiple Tasks at Once

Click on the gray checkmark icon within the relevant process.

Select "Complete All."

All tasks within the process will be marked as "Completed."

For Skipping Tasks:

Click on the gray checkmark icon within the relevant process.

Select "Skip All."

All tasks within the process will be set to the "Skipped" status.

If you need to revert a completed task back to incomplete, simply click on the "X" icon and change its status accordingly.

Delete a Task

To delete a task, click on the ellipsis icon and select "Delete."

Review the content of the popup and click the "Delete" button to confirm your action.
